StoaHub Ballot Push #2 - Judge Check In
To have a smooth ballot push process, it is best practice to review all judge data during the judge check in process.
For Judge Check In - go to Admin-Ballot Push-Judges
This will bring you to a screen with all the judges.
When a judge comes to the table to check in, type their name.
If the judge name appears, click on their name. You'll be taken to their judge screen.
- Check the punctuation of their first and last name.
- Ask if they are judging for a specific family at the tournament. If so, select that family from the dropdown menu. If not, leave it at none.
- Verify the type of judge they are. "Parent/Community/Alumni".
- Ask if they were recruited by anyone in particular if applicable.
- If you want to, you can verify their email and cell phone number, but for large tournaments, that might take too much time.
- Ask if they have any club conflicts, or confirm the club conflicts that show up. If they do have a club conflict and it's not existing, add it.
- They might not have a club conflict but they do have an individual conflict. If so, you can enter it here.
- The event types and rounds aren't that important, UNLESS you plan on auto assigning ballots. If you do plan to use the auto assign ballot feature, you'll need to make sure the correct rounds are selected.
Once the judge has confirmed their information, you can click "Update".
If you need to print their badge, you can click the little "Badge" icon.
If the judge is NOT in the system, click on Add Judge.
You can start typing their name or email address to see if they have a StoaHub account. If they do, their name should start to auto populate.
Once you've selected the judge, click "Add".
You'll then see a notification that they were added.
Go back to Judges and follow the steps for the added judge.
If the judge does NOT exist in StoaHub, you'll create an account for them. Under "Add Judge", click on the words "create their judge account".
This will bring you to a page to create a new judge. Simply follow the instructions and enter all applicable data.
Once done, click "Save".
You can view all constraints for clubs or individuals under Admin-Ballot Push-Constraints. You can also add club conflicts and individual conflicts here if you'd like.
